Using Document Designer

The Document Designer features and functions available to you are dependent on your environment and the settings configured by an administrator. Some of the features and functions described here may not be applicable to you.

In certain cases, such as users with limited permissions, Document Designer is not available except when there are unmapped or optional fields. When unmapped or optional fields are detected, you are rerouted to Document Designer instead of the eSignature Management page.

Signed documents cannot be modified using Document Designer.

For XML sessions, Document Designer functionality is only available for attachments and configuring optional signatures. Document Designer is not available for XML documents. XML documents cannot be modified. Screenshot examples reflect RTS sessions except where noted.

If using eSign Lite, Document Designer is not available. Upgrade to eSign to use this feature.

Access the Document Designer page from the Session Details page or eSignature Management page. Click Collapse to collapse the Parties, Documents, and Fields areas. Click Expand to expand the Parties, Documents, and Fields areas.

	Continue	The Continue button is only enabled when all Signature and Initial fields in all documents in the current session are mapped to parties and any text fields, checkboxes, dropdown fields, and radio buttons are mapped to a party.
	Cancel	The Cancel button will return you to the page from where the Document Designer was accessed.
	Toolbar	Click and drag fields into a document. You can then associate a party, role or type with the field. Refer to Adding, Editing, and Deleting Fields for details. Using the alignment tools, move and resize the fields as necessary. Refer to Moving and Resizing Fields for details.
	Review Assignments / Review Optional	Review Assignments is displayed for RTS sessions. Review Optional is displayed for XML sessions. When Review Assignments is clicked, you are navigated to the Document Designer - Review Assignments page. Review field assignments and mark the field as required or optional where applicable. Refer to Reviewing Assignments (RTS) for details. When Review Optional is clicked, you are navigated to the Document Designer - Review Optional Fields page. Mark fields as required or optional where applicable. Refer to Reviewing Optional Fields (XML) for details. Depending on the settings configured by your administrator, you may not see this button.
	Add Party	Add a new signer or reviewer. Refer to Adding, Editing, and Removing Parties (RTS) for details. This is not applicable for XML sessions.
	Request Remote Attachments	Supporting documents such as pay stubs, W2s, Driver License, Passport, etc. can be requested as required from a remote signer using the Request Attachments option on the Document Designer page or the eSignature Management page. Prior to requesting attachments, a signer must be designated to sign remotely otherwise the Request Remote Attachments button is not enabled. This button will not be enabled unless there is at least one Remote Attachment Template defined.
	Parties	The Parties area lists all known parties, their email addresses (if available), and the number of documents for each party. Refer to Adding, Editing, and Removing Parties (RTS) for detailed information on adding, editing, and deleting parties. Details Party Name Click a party name to modify the party name or email. If the party's email address is invalid, the email address will have a red X next to it. Example: Number of Actions Required by the Party The number of actions that the party is required to complete is displayed here. Party's Area Click a party's box to highlight the documents in the Documents area that the party must perform an action on such as signing or reviewing. For the first document displayed, fields assigned to the selected party are highlighted in the Fields area. Party's Color Each party is automatically assigned a color. Each party's fields are displayed in the assigned color. View Party's Documents Click the View Party's Documents icon to view documents associated with the selected party. Delete Click the delete icon to delete the party and all fields assigned to that party.
	Documents	The Documents area lists all documents currently in the session with the number of actions required for each document. Click the View Document's Parties icon to view the parties associated with the selected document. Click the following example to enlarge it.
	Fields	The Fields area lists the signatures, initials, text fields, checkboxes, dropdown fields, and radio buttons in the currently selected document. Fields with a red asterisk are required.

This is an example of an RTS document in Document Designer. Document Designer allows you to assign a template to unknown documents, map unmapped fields, and set optional fields as required or not. You can add, edit or delete signature fields, signature date fields, initial fields, text fields, checkboxes, dropdown fields, and radio buttons. In addition, this page can also be used to add, edit, or delete party information. Using the Request Remote Attachments button, attachments can be requested from remote parties. Once requested, remote attachments are listed in the Documents list on the Document Designer page.

This is an example of an XML document in Document Designer. For XML sessions, the Document Designer page allows you to set optional fields as required or not. Using the Request Remote Attachments button, attachments can be requested from remote parties. Once requested, remote attachments are listed in the Documents list on the Document Designer page.

For XML sessions, signer (party) information cannot be added, edited, or deleted. XML documents cannot be modified unless they are attachments.

Full Document Designer functionality is only available for attachments. For attachments, you can add, edit or delete signature fields, signature date fields, initial fields, text fields, checkboxes, dropdown fields, and radio buttons.

The following example is an XML document (not an attachment). The example displays the Review Optional button because optional signatures/initials are detected. When optional signatures/initials are not detected, the Review Optional button is not displayed. Also, depending on the settings configured by your administrator, you may not see this button.

Depending on the tasks that need to be performed, the Document Designer page is displayed in different ways:

• Preview & Add Fields: This is the Document Designer landing page. From this page, you can perform or navigate to most Document Designer functions.

• Assign Template: Use the Assign Template wizard to assign a template to an unknown document. Refer to Assigning a Template to an Unknown Document (RTS).

• Map Optional & Unmapped Fields: Use the Map Optional & Unmapped Fields wizard to assign parties to fields and decide whether or not optional fields will be required during the signing and reviewing process. This is for RTS sessions. Refer to Map Optional and Unmapped Fields (RTS).

• Map Optional Fields: Use the Map Optional Fields wizard to decide whether or not optional fields will be required during the signing and reviewing process. This is for XML sessions. Refer to Map Optional Fields (XML).

• Review Assignments: Use the Review Assignments wizard to review the party assignments and optional fields in a document set. This is for RTS sessions. Refer to Reviewing Assignments (RTS).

• Review Optional Fields: Use the Review Optional Fields wizard to review the optional fields in a document set. This is for XML sessions. Refer to Reviewing Optional Fields (XML).
